1. Who We Are

Secure Radio is responsible for the marketing website.

Secure Radio is the trading name of Secure Radio Communications Limited. In this policy, "Secure Radio", "we", "us", and "our" mean Secure Radio Communications Limited.

We are the controller for personal data collected through the public marketing website at secure-radio.com. This includes public website pages, enquiry forms, free-trial request forms, public documentation search, Signal Desk, website status pages, trial verification pages, and related marketing-site emails.

This policy does not cover customer tenant administration, operational users, dispatch activity, field app activity, product logs, live communications, customer support tickets, or contractual customer processing inside the Secure Radio product. Those areas will be covered by a separate product privacy notice, customer agreement, or data processing addendum where applicable.

2. What We Collect

We collect the information needed to answer enquiries, run website trials, and keep the site secure.

Category Examples
Contact and organisation details Name, work email, phone number, company, sector, approximate team size, role-related context, and similar enquiry details.
Enquiry and trial information Lead type, message, trial goal, device readiness, evaluation timing, privacy acknowledgement and contact-permission record, verification state, trial source, and onboarding status.
Signal Desk interactions Questions, answer context, page path, citations used, answer quality signals, optional rating, optional feedback note, and redacted insight records.
Website and technical data Page URL, referrer, browser or device information, request logs, security events, service status checks, and session identifiers used for website features.
Email and CRM records HubSpot contact records, enquiry notes, trial lifecycle properties, verification emails, onboarding emails, and follow-up history.

Please do not send passwords, PINs, access tokens, secrets, sensitive operational details, or special category personal data through public website forms or Signal Desk. Signal Desk records are designed to redact obvious emails, long token-like strings, secrets, passwords, and PIN assignments before storage, but public website tools are not intended for confidential operational material.

3. How We Use It

We use marketing website data for clear, practical purposes.

Respond

Enquiries and demos

We use your details to respond to demo, contact, partnership, pricing, technical, and sector-fit enquiries.

Trial

Free-trial requests

We verify trial requests, create or update CRM records, send onboarding emails, and coordinate trial provisioning.

Improve

Website and Signal Desk

We review website questions, ratings, and error signals to improve public content, lead routing, and answer quality.

We also use personal data to operate the website, prevent abuse, diagnose errors, maintain public service status pages, preserve security, manage CRM and email workflows, comply with legal obligations, and keep records of requests and opt-outs.

When you submit a demo or free-trial form, the checkbox confirms that we may use the details in that form to respond to and manage that specific request. It is not a general newsletter or unrelated marketing opt-in. We keep a record of the acknowledgement, including the time, wording version, privacy policy version, source page, CRM or trial reference where applicable, and hashed request metadata rather than raw IP address where practical.

4. Lawful Bases

We rely on the lawful basis that fits each activity.

Use Lawful basis
Responding to demo, contact, and trial requests Legitimate interests and, where relevant, steps before entering into a contract.
Verifying and managing free-trial requests Steps before entering into a contract, contract where applicable, and legitimate interests.
Transactional emails such as verification, acknowledgement, and onboarding Contract, steps before entering into a contract, and legitimate interests.
Website security, abuse prevention, logging, diagnostics, and uptime checks Legitimate interests.
Signal Desk improvement, rating review, public content improvement, and GTM insight Legitimate interests, with redaction and limited retention where practical.
Legal, accounting, compliance, and dispute records Legal obligation and legitimate interests.

For business-to-business marketing follow-up, we may use legitimate interests where UK privacy and electronic communications rules allow it. Where consent is required, we will ask for it. You can object to marketing follow-up at any time.

5. Cookies And Storage

The current marketing website uses limited storage for essential and functional purposes.

Signal Desk uses browser session storage to keep a temporary website-assistant session identifier. This helps the public assistant keep context during a browsing session. The marketing website may also use essential cookies, logs, and security features from hosting and infrastructure providers to deliver pages, process forms, prevent abuse, and keep the service reliable.

We do not currently use advertising cookies on the marketing website. If we add optional analytics, advertising pixels, or non-essential tracking later, we will update this policy and provide appropriate cookie information and consent controls before using them.

6. Who We Share It With

We use trusted service providers to operate the marketing website and trial journey.

We do not sell personal data. We may share personal data with service providers and partners where needed to operate the website, respond to enquiries, manage CRM records, verify trial requests, send emails, provide public search, store website records, or protect the service.

Some providers may process data outside the UK. Where that happens, we expect appropriate safeguards to be in place, such as UK adequacy regulations, standard contractual clauses, the UK International Data Transfer Addendum, or other lawful transfer mechanisms.

7. How Long We Keep It

We keep marketing website data only for as long as it has a practical purpose.

Free-trial request and verification records Up to 24 months after trial end, unless needed for security, disputes, abuse prevention, or legal reasons.

8. Your Rights

You have rights over your personal data.

Depending on the circumstances, you may have the right to ask us for access to your personal data, correction, deletion, restriction, objection, portability, or withdrawal of consent. You can also object to direct marketing at any time.

To make a privacy request, email operations@secure-radio.com. We may need to verify your identity before acting on a request.

You also have the right to complain to the UK Information Commissioner's Office. You can find information about the ICO at ico.org.uk.

9. Changes

We will update this policy as the marketing website and trial journey change.

We may update this policy from time to time, especially if we add new website features, analytics, cookie tools, processors, trial flows, or marketing channels. The latest version will be posted on this page with an updated date.
